Privacy Policy

Miles Management Corp (“Miles Management,” “we,” “us,” or “our”) respects your privacy. This Privacy Policy explains what personal information we collect, why we collect it, how we use and share it, and the choices you have. It applies to this website (https://milesmgt.com) and to our resident portal at pay.milesmgt.com (together, the “Services”).

By using the Services, you agree to the collection and use of information as described in this policy. If you do not agree, please do not use the Services.

1. Information We Collect

We collect the following categories of information:

  • Identity information. Name, and where relevant to a tenancy, date of birth and government-issued identification details provided during leasing or screening.
  • Contact information. Email address, phone number, and mailing address.
  • Tenancy information. Lease terms, unit and property details, rent amounts, payment history, lease documents and signatures, communications with our office, and records relating to your tenancy.
  • Payment and bank-link data. When you link a bank account or make a payment through the resident portal, that data is collected and processed directly by our payment processor, Stripe, Inc. Your bank login credentials and full account details are transmitted to Stripe and are never stored by, or visible to, Miles Management. We receive only limited information necessary to administer your tenancy — such as confirmation that a payment succeeded or failed, the amount, and the date. Stripe’s handling of your data is governed by its own privacy policy, available at stripe.com/privacy.
  • Maintenance information. Maintenance requests you submit, including descriptions and any photos you attach.
  • Device and log data. When you use the Services, we and our hosting providers automatically collect standard technical data such as IP address, browser type, device information, pages visited, and timestamps, used for security, troubleshooting, and aggregate analytics.

2. How We Use Information

We use personal information to:

  • Administer leases and tenancies, including rent collection, renewals, and required notices;
  • Operate the resident portal, including payments, autopay, rent-splitting, and document signing;
  • Coordinate, schedule, and complete maintenance and repairs;
  • Communicate with you about your tenancy, your account, or your inquiries;
  • Evaluate prospective tenancies and prepare management proposals for property owners;
  • Maintain the security, integrity, and performance of the Services;
  • Comply with legal obligations, including those under landlord-tenant, tax, and financial laws; and
  • Establish, exercise, or defend legal claims.

3. How We Share Information

We do not sell personal information. We share it only as follows:

  • Payment processing. With Stripe, Inc., to process bank linking, payments, and payouts as described above.
  • Service providers. With vendors that help us operate the Services — such as our email provider, website and portal hosting providers, and document-signing infrastructure — under obligations to use the information only to provide services to us.
  • Maintenance contractors. Limited contact and access details shared with trades as needed to complete work you request or that the property requires.
  • Property owners. Where we manage a property on behalf of an owner, tenancy and payment summary information reasonably required for the owner’s books and legal obligations. Bank-link details are never shared with property owners.
  • Professional advisors. Accountants, auditors, insurers, and attorneys, under duties of confidentiality.
  • Legal requirements. When required by law, subpoena, court order, or governmental request, or where disclosure is necessary to protect the rights, property, or safety of Miles Management, our tenants, or others.
  • Business transfers. In connection with a merger, acquisition, financing, or sale of all or part of our business, subject to customary confidentiality protections.

4. Data Retention

We retain personal information for as long as reasonably necessary for the purposes described in this policy: generally, for the duration of your tenancy or business relationship with us, plus the period required by applicable law (including landlord-tenant, tax, and records-retention requirements) or needed to resolve disputes and enforce agreements. When information is no longer needed, we delete or de-identify it.

5. Security

We use commercially reasonable administrative, technical, and physical safeguards designed to protect personal information, including encryption in transit, access controls, and the segregation of payment data with Stripe. No method of transmission or storage is completely secure, and we cannot guarantee absolute security. If we become aware of a breach affecting your personal information, we will notify you as required by applicable law.

6. Your Rights and Choices

Depending on applicable law, you may have the right to:

  • Request access to the personal information we hold about you;
  • Request correction of inaccurate information;
  • Request deletion of information, subject to legal retention requirements;
  • Opt out of non-essential communications; and
  • Receive a copy of certain information in a portable format.

To exercise any of these rights, contact us using the details in Section 10. We will respond within the time required by applicable law and may need to verify your identity before acting on a request.

7. No Sale of Personal Information

Miles Management does not sell personal information, and has not sold personal information, to third parties for monetary or other valuable consideration.

8. Children’s Privacy

The Services are not directed to children under 13, and we do not knowingly collect personal information from children under 13. Information about minor household members provided by a leaseholder is used solely for tenancy administration.

9. Changes to This Policy

We may update this Privacy Policy from time to time. When we do, we will revise the effective date above and post the updated policy on this page. Material changes affecting portal users will be communicated by email or portal notice.
